Data Protection.

This website is owned by Roxane Mullen.

Your confidentiality matters and protecting your confidentiality is part of my ethical code as a mental health professional. It assures your privacy, trust, and your ability to share freely and openly in your sessions. I will always do my best to respect your privacy, avoiding any misuse or abuse of your personal data. I strive for my services to be safe for everyone and so commit to the following:

  • I carry out all processing operations in compliance with European privacy laws.

  • You are in control of your personal information at all times.

  • I will never sell personal data to anyone.

This privacy policy describes how we use the personal data we collect from you when you use our website.

Privacy Policy

GDPR states that I must have a lawful basis for processing your personal data. There are different lawful bases depending on the stage at which I am processing your data. I have explained these below:

If you have had therapy with me and it has now ended, I will use legitimate interest as my lawful basis for holding and using your personal information.

If you are currently having therapy or if you are in contact with me to consider therapy, I will process your personal data where it is necessary for the performance of our contract.

GDPR also makes sure that I look after any sensitive personal information that you may disclose to me appropriately. This type of information is called ‘special category personal information’. The lawful basis for me processing any special categories of personal information is that it is for provision of health treatment (in this case counselling) and necessary for a contract with a health professional (in this case, a contract between me and you).

How I use your information:

  • Initial contact

When you contact me with an enquiry about my counselling services I may collect information to help me satisfy your enquiry. This will include your name, telephone number, email address & notes. If you decide not to proceed I will ensure all your personal data is deleted within one week.

  • While you are accessing counselling

If you decide to use my services, I will need to collect your postal address, medical information, emergency contact details, and relevant mental health history.

Everything you tell me is confidential with a few exceptions: If I feel that you are an immediate danger to yourself or others, I can break confidentiality to keep you/others safe. If I hear about the abuse (or suspected abuse) of anyone under the age of 18, an elderly person, or someone with a disability, I am mandated to report it. It's important to know that I will never break confidentiality without discussing this with you first.

I will keep a record of your personal details to help the counselling services run smoothly. These details are kept securely in a locked filing cabinet and/or in password-protected documents and are not shared with any third party. I will keep brief written notes of each session, these are kept in a locked filing cabinet, and you will not be identifiable from these notes. Any email correspondence will be deleted after two weeks if it is not important. If necessary I will add any important information to your paper notes which are kept in a locked filing cabinet.

  • After counselling has ended

Once counselling has ended your records will be kept for 6 years from the end of our contact with each other and are then securely destroyed. If you want me to delete your information sooner please tell me.

  • Your rights

You have a right to ask me to delete your personal information, to limit how I use your personal information, or to stop processing your personal information. You also have a right to ask for a copy of any information that I hold about you and to object to the use of your personal data in some circumstances. You can read more about your rights here.

  • Data security

I take the security of the data I hold about you very seriously and as such, I make every effort to make sure it is kept secure. Any paper notes are stored in a locked filing cabinet. Any notes from sessions are stored under a code rather than the client's name and are stored separately from any personal data about the client. Any data that is stored electronically is done so under password-protection.
